Set up Google Alerts
Set up a Google Alert for your name and your practice’s name to receive notifications when new mentions appear online.

- Enter your name in quotation marks, followed by your credentials (e.g. “Mary Smith” MD)
- Select “Show options”
- For “How often” select “As-it-happens”
- Next to “Sources” select “Automatic”

Check review profiles on a schedule
Check your Google Business, Healthgrades, Facebook, and other review profiles regularly based on your patient volume.
- Under 10 patients per day: check every two weeks
- 10 to 30 patients per day: check every week
- Over 30 patients per day: check every day
Multi-provider groups with high patient volume should also monitor their group listings on Google and Facebook daily, as these sites collect general practice feedback in addition to provider-specific reviews.
How to respond online: use a script

Follow up by phone: the H.E.A.R.T. method
After responding online, call the individual to work through their concerns directly. Phone or face-to-face conversations are preferable because you can more safely discuss confidential information, and verbal communication is more effective for resolving conflict.
Use the H.E.A.R.T. method to guide the conversation:
Hear. Ask for and listen to their concerns. Start with an open question: “Would you mind helping me understand what happened?”
Empathize. Show the person you care. “If I were in your position, I would feel just as you do.”
Apologize. Sincerely apologize without admitting fault. “I am sorry that you feel this way. We are committed to making your experience better.”
Resolve. Show your commitment to improvement. Have a plan before the call. “Would it help if I [RESOLUTION]?”
Take Action. Follow through immediately. Respond to the individual and any involved parties in writing with the agreed-upon next steps.
